MAIL MT HELEN CAMPUS

Location
The Mt Helen Mailroom is located in the Student Centre on the ground floor of T Building. The mailroom is open from 10.00am to 4.00pm daily and is accessed by authorised staff via key entry through the rear door. Please note that there is no access avaliable to the mailroom via Student Administration.

Incoming Mail

Mail is delivered from Australia Post and the SMB campus by 9.00am and is sorted and ready for collection by schools/sections by 10.00am each day. However please allow an extra hour for sorting the day after public holidays or shut down to facilitate sorting of extra mail volumes. Items delivered to the university via courier services are delivered to the stores section. Internal mail from the Western Campuses arrives in the mailroom each morning at approximately 10.30am.

Internal Mail
Pigeon holing of internal mail is the responsibility of school/section staff. Please ensure that all mail is clearly addressed with the intended recipient's name, school/section and campus to assist your administrative staff with the pigeon holing of mail and prompt delivery of mail to the correct recipient.

Intercampus Mail
An intercampus courier service operates between the Mt Helen, SMB and Western campuses of the University of Ballarat. Items for delivery to other campuses should be placed in the appropriate pigeon prior to 3.00pm each day to ensure overnight delivery.

Outgoing Mail and Mailouts

Outgoing Mail is to be placed in the appropriate designated areas in the mailroom. Please ensure that the account code for the mail is clearly attached or mail placed in the appropriate bag. Mail is not to be placed on the floor.
If you have large amounts of mail to be processed please contact staff for instructions re lodgement.
Mailroom staff MUST be notified in advance (at least 24hours notice - more for large mailouts) of mail outs that:

·Exceed 300 in number of standard letters
·Exceed 100 in number of large items

Large items that exceed 8mm in thickness are unable to be franked thorough the franking machine. If you have large numbers of thick items in a mailout please arrange pre-franking of envelops (franking of envelops prior to filling) with mailroom staff. This will ensure timely dispatch of your mailout and provides significant assistance to mailroom staff.

All international mail that exceeds 500g must have a customs declaration completed by the sender and attached to the mail item. There are three types of customs declaration forms:

·Items from 501g to 2kg in weight
·Items exceeding 2kg not insured
·Items exceeding 2kg in weight and insured

The forms are located in the brochure holders on the mailroom wall.

Packages that weigh in excess of 10kg are not to be left in the mailroom. Please contact mailroom staff for instructions re dispatch.
Australia Post does not handle items that exceed 20kg. Please contact the University Stores to make arrangements for delivery via courier.

Dos and Dont's for Mail

Do:
·Correctly address your mail
·Ensure envelops/packages are securely sealed
·Notify mailroom staff in advance of intended mailouts
·Let mailroom staff know if you are responsible for a project/program that may receive mail by the name (eg Regional Connectivity Project) to ensure that mail will be forwarded to the appropriate staff member.

Don'ts
·Leave mail on the mailroom floor
·Put overseas mail over 500g out to be processed without a customs declaration. It WILL be returned to you.
·Bring heavy (over 10kg) items to the mailroom without prior discussion with mailroom staff
