Additional information about placing and tracking orders

Prescribed texts and recommended readings

These are texts that the students are expected to use in order to meet their course requirements and therefore expect to access through the Library. The Library will purchase a copy of these texts from school budget allocations at the beginning of each semester.  Please notify the Acquisitions Librarian if you have made changes to the recommended reading lists for units undertaken in your discipline.

Urgent orders

Urgent orders are expedited through the ordering and cataloguing process and you will be notified when the item is available for loan. Please annotate your order request "Urgent" if you wish it to receive this status and provide a contact telephone number. Orders for Reserve will automatically be treated as urgent. Please provide the unit name and number of copies required.

Subscription orders

As subscriptions require ongoing payment and as prices can rise more rapidly than books, requests for new subscription titles must be carefully considered.  Recommendations for new serials titles should be directed through Heads of Schools and should be considered within the constraints of available budget and curriculum requirements. Current serials subscriptions are reviewed and new titles are considered annually to identify renewals for the following year.

Tracking requests and cancelled orders

You are advised to check the status of requested material on the Library catalogue.

Firm orders are recorded in the Library catalogue with copy, campus and order date information, e.g. “1 copy ordered for SMB Order on 26-06-2006.” If orders are being held pending available funds, they are recorded as ‘under consideration,’ e.g. “1 copy under consideration for Mt Helen Order.”

The Library will not usually notify selectors when items are received into the Library, unless they were placed as urgent orders. Orders which have been received by the Library but have not yet been placed in the collection appear with the call number 'IN PROCESSING - use REQUEST button' and can be requested for priority processing.

A weekly listing of recently catalogued titles is also available on the web.

Selectors are notified when the library has an order cancelled, e.g. if the item is out of print and cannot be sourced by an out of print supplier. In this instance, acquisitions staff will supply the requestor with a list of alternative texts to assist with selection of a replacement title.
