The Complete Outline of Orientation Information for New Students
The University of Ballarat has an Orientation Program during March each year. If you were unable to attend that program we encourage you to review the following UB websites which will provide you with the programs that we offer and your responsibilities during candidature.
Beginning Candidature
Enrolling and Re-enrolling -
Details will be provided by the Research & Graduate Studies Office - via email, please ensure that RAGSO has your correct email address. All information is sent via email.
Library -
The library conducts training programs and research assistance to postgraduate students. Please contact the library to arrange this training.
Scholarship Payments -
The University of Ballarat offers a range of scholarships for higher degree by research candidates. If you are successful in obtaining a scholarship, you must complete and submit a Bank Details Form and Tax file form, both obtainable from the Research and Graduate Studies Office. Students are only permitted to work up to 8 hours per week when receiving a stipend scholarship.
Higher Degree by Research Regulation 5.1 -
Please review Higher Degree by Research Regulation 5.1 so that you are familiar with its provisions in relation to the degree in which you are enrolled.
Miscellaneous Form -
Students must apply to make any changes that occur after you receive your letter of offer, change of Supervisor etc. Use the Miscellaneous Request Form.
PORTIA -
Postgraduate Research Training Information Assistant (PORTIA) is a web-based Candidature Management System. Students and Supervisors are encouraged to use this program to record their interactions during the candidature process and to manage progress throughout candidature.

Graduate Centre Program -
This program is highly recommended for newly enrolled students. The Research & Graduate Studies Office provides these seminars and workshops in an attempt to give postgraduate students some way of thinking about the research task ahead of them, and in so doing contribute to making their research experience a little more systematic and enjoyable. All programs are detailed on the web.
Access to notes from the program is via Blackboard. Please ensure that your student details are sent to HDResearch@ballarat.edu.au Programs can be viewed by "Streaming". You will need to register your details with HDResearch@ballarat.edu.au. If your computer does not have speakers then you will not be able to use this process.
Research Conference -
The aim of the conference is to showcase the exciting research work being conducted by our higher degree by research students and early career researchers, and to promote the significance and applicability of this research knowledge to the national benefit. There is an expectation that all students present their research each year at this Conference.
Supervision Details -
The Supervisors web page has details that are important for both students and supervisors to read. It includes a link to the Register of Supervisors from which the student can choose appropriate supervisors for their candidature. Students should read the information on the page, such as the Responsibilities of Supervisors. The
Student - Principal Supervisor Agreement on Candidature Arrangements which is also on that page, must be completed and returned RAGSO as soon as possible.
Progress Reports -
There ia an Interim and an Annual Progress Report. The completion of these reports is compulsory. For further information, see the Progress Reports web page.
Student Evaluation of the Postgraduate Program -
SEPP (Student Evaluation of Postgraduate Program) is a questionnaire consisting of a series of statements which research postgraduate students are asked to respond to. Responses to these statements will provide important information to enable the University improve the supervisory experience of students. Further information is available from here.
Leave From Studies -
If you are applying for leave for a semester, you must apply before the HECS census dates of 31 March or 31 August so that you can be taken off load. Download the Leave From Studies Form.
Changing from Part-time to Full time Candidature and Full-time to Part-time -
You must inform the Research & Graduate Studies Office and complete an Enrolment Amendment Form
End Period of Candidature
Examination Process -
There is a formal process for the examination Doctor of Philosophy, Professional Doctorates and Masters by research theses, which commences when the student submits the 'Intention to Submit' form.
Publication Awards -
The purpose of this Award is to lift the publications profile of the University by providing financial support to post-graduate students following submission of their theses. This will
enable the student to have a stipend while writing up sections or a major part of their thesis
for publication. Up to 6 awards per year may be provided, depending on available funds. Download Publication Award information. Two closing dates, 31 April, 2008 and 31 August, 2008. Students must meet the criteria for the awards to receiving funding.
