Why can't I access my results on the web?
Perhaps you are not currently enrolled in any units as a UB student. Students can only access their results when they are currently enrolled in at least one unit. If you are definitely enrolled currently but still cannot access your results, you should contact the University's Helpdesk. They will be able to assist with this problem.

Why don't my credits appear on the website?
After you have completed a credit transfer application form and the credits have been approved by the appropriate Courses Co-ordinator, these have to be ratified at the next meeting of the relevant Courses Committee. This may not take place for a month or so after your credits have been approved, and then the data has to be entered onto the main University database which may take another week or so. If, a month or so after you have been informed that your credits have been approved, they still do not appear on the website you may wish to contact the administrator at your local educational institute for him/her to investigate further.

How do I know if I am studying the correct units to complete my degree?
The Academic Co-ordinator at your educational institution should prepare a Study Plan with you when you first enrol, which will ensure that you complete the requisite units, and in the correct order, to be able to graduate. Please consult the Academic Co-ordinator at your partner institution.

Why don't I have a grade on the website when I completed this unit a long time ago?
The units you are studying are subject to moderation which means that your lecturer passes samples of work and grades to staff at the University of Ballarat for the moderator to ensure that the grades awarded are fair and consistent with grades awarded to students who study at the Mount Helen campus (where the main University is situated). It can take a while for local lecturers to pass on moderation samples
and for them to go through the moderation process. Sometimes moderators will require further samples to ensure that the results awarded are correct, and getting this will take more time. After moderation results are subject to ratification by the relevant Courses Committee as a further check that they are fair, and this will take up a little more time. Furthermore, certain times in the academic
year are very busy and the quantity of results to be posted on to the website can
cause them to be delayed. You should contact the administrator at your educational institute in the first instance to establish the reason for the delay.

Why is the grade on the website different to the one given to me by my lecturer?
The units you are studying are subject to moderation which means that your lecturer passes samples of work and grades to staff at the University of Ballarat for the moderator to ensure that the grades awarded are fair and consistent with grades awarded to students who study at the Mount Helen campus (where the main University is situated). After moderation results are subject to ratification by the relevant Courses Committee as a further check that they are fair and consistent. The correct grade is the one that is moderated and ratified by staff at Ballarat and you should only be informed of this finalised result.

I am unhappy with the grade awarded to me in a unit and wish to appeal. How do I do this?
The rules relating to appeals can be found in Appendix 1, Regulation 5.3 - Assessment of the University Handbook. Appeals can only be considered if they are lodged with the Head of School within 14 days of the publication of the final grade.

Where is my completion letter?
Please contact the administrator at your educational institute. S/he must send a request for preparation of completion letters and authorised transcripts to the appropriate
administrator in the International Unit. If s/he tells you that this has been done you may wish to contact the International Unit to check on progress.
You may only receive one completion letter so if you apply for a
completion letter in a Diploma or Certificate course, you will not
be permitted to re-enrol in a Masters course for a period of two
years.

When can I get my testamur?
After the next graduation ceremony. Graduation ceremonies are currently held in May and September each year when students may be presented with their testamurs in person, while there are also "in absentia" ceremonies held in February and December when testamurs can be posted to graduands. Students must apply to graduate by completing the form on the graduation website.

If a unit is not available in the semester I wish to do it, what can I do?
If a unit is not on offer in the particular semester you wish or need to do it, you may apply to do the unit at another institution and gain credits for that unit with UB. Before you apply to do the unit at another institution that equivalent unit must first be approved by the UoB Course Coordinator. The Academic Manager at your institution can assist you in applying for this.

I did not attend my exam because I was not feeling well. What do I do?
If you did not attend the examination due to illness you may apply for a deferred exam. To make this application you will need a medical certificate explaining your illness and a recommendation by the doctor that you were unable to do any work on that day.
You must then submit a Special Consideration Form to your
administration within three days of due date of the exam or other
assessable task.

I was ill during my exam and this made it difficult for me to perform to the best of my ability. What can I do?
If you were ill during the exam, you may apply for special consideration. With your application you will need a medical certificate explaining the nature of your illness. Special consideration may be granted in the form of leniency during the marking process, or you may be given the opportunity to sit a deferred exam.
Again a Special Consideration Form must be submitted within three
days of the date of the exam.
When am I entitled to sit a supplementary exam?
There are three occasions when students are entitled to sit supplementary assessments, these being:
- If you gain between 45-49% in the overall unit assessment and
have:
- attended a minimum of 80% of your classes;
- have attempted all assessable tasks;
- have not had a plagiarism charge upheld.
- If you have gained a minimum MN grade in a final unit. This is known as FUSA (Final Unit Supplementary Assessment) rule.
- If you were ill during your exam. You must submit a medical certificate within three days of the date when the exam was scheduled.
These rules are currently under review and may be changed.

What is the last date I can enrol, change
my enrolment, withdraw from all studies or apply for leave from
studies?
The last dates to submit enrolment, enrolment amendment, withdrawal
form all studies and leave from studies forms are determined by the
University at the beginning of each year and are strictly adhered
to. Your partner administration will have been notified of
these dates and they will shortly become available on this website
too.

Kong/Singapore/China. Will I be a graduate of the University
of Ballarat?
Provided you pass all the units required by the course or program in
which you are enrolled, you will receive a Testamur confirming that
you are a graduate of the University of Ballarat.
