Applying To Graduate

How do I apply to graduate?


You need to complete an Application to Graduate form and pay the appropriate fee. You can download an Application to Graduate form from the Graduations Webpage or obtain an application form from the Student Centre.

Emailed applications are NOT accepted. Therefore students should either submit their forms at Student Services (Mt Helen), or fax or post their applications to:

Is there a fee to graduate?


If you choose to attend a ceremony in Australia the fee to graduate is $80AUD (including GST). The fee to graduate In Absentia is listed on the Application to Graduate form. To have your testamur sent to an overseas address, the fee is $50.00AUD. (This fee covers one way postage and handling costs.) There is no fee to have your testamur sent to you via registered post within Australia.

Payment must be forwarded with the completed application form and can be made by cash (in person), cheque, money order, bank draft, Visa, MasterCard or AMEX.

No payment is required for those students not wishing to attend a ceremony, and who wish to collect their testamur in person. Eligible students graduating In Absentia are conferred in absentia. Testamurs are available for collection from the Mt Helen Student Centre after the conferral date or completion of all ceremonies.

The fee to graduate if you choose to attend a celebration offshore (overseas) is dependant upon the location. Information regarding this is available from the relevant partner institute.

Do I need to attend a ceremony?


No, if you do not wish to attend a graduation ceremony, complete an Application to Graduate form and mark In Absentia as your preference under section six. Students graduating In Absentia can collect their testamur and a copy of their academic transcript following their school's ceremony date, or have it posted to them.

In Absentia - Confirmed dates testamurs will be available for collection from the Student Centre or, if requested, posted to your nominated address:

  • September 2010 In Absentia - Applications are now closed
  • December 2010 Ceremony/In Absentia - Applications close Friday 3rd September 2010.
  • February 2011 In Abentia - Applications close Friday 3rd December 2010
  • May Ceremony/In Absentia - Applications close Friday 4th February 2011.

How do I graduate In Absentia?


All In Absentia applicants must follow the same guidelines as those set out for attending graduands, including the dates for the submission of forms.

How do I know if I have qualified for my award?


Any queries regarding your eligibility to qualify for the awarding of your degree should be directed to your school or program coordinator.

Students cannot graduate until they have completed their program requirements and results are entered by their school on Campus Solutions.

A confirmation letter will be posted to your nominated postal address approximately one month before the ceremony. If you are applying In Absentia in May or December, a confirmation letter will be posted to your nominated postal address approximately one month before the conferral date. If you are applying In Absentia in February or September a confirmation letter is NOT sent as there is insufficient time between the closing of applications and the conferral..

If you have been deemed ineligible to graduate, you will receive a letter from your school outlining the outstanding academic requirements which are needed in order for you to qualify. It is your responsibility to reapply to graduate when you are eligible.

How do I obtain an invitation letter / visa letter for my family?


If you require an invitation letter for visa purposes, please send an email to the Graduation Office - graduation@ballarat.edu.au Please note that a visa letter cannot be provided until you have provided the Graduation Office with a copy of your completion letter from your School. Visa letters can be issued as soon as a copy of your completion letter is provided.

Changing Your Graduation Details and Preferences

What if I would like to defer my graduation?


Once you have applied to graduate in person and wish to defer your graduation, a written statement of your intention to defer your graduation is required 4 weeks prior to the ceremony. Your application to graduate will then be deferred to the next semester's graduation for your school. You cannot continue to defer your graduation, this can only be done once. Should you not graduate in person after deferring once, your application to graduate will be returned to you along with a refund for any fees you may have initially paid with your application. It will then become your responsibility to apply to graduate once again. All written statements of intention to defer need to be sent to the Graduations Office. (See the 'How do I contact the Graduations Office?' section for contact details.)

Can I obtain a refund?


If you have paid but cannot attend your ceremony and now wish to graduate In Absentia, your money will be refunded, provided that the Graduation Office is advised in writing at least four weeks prior to the ceremony. Graduands who do not show up on their graduation day, will have their degree mailed to them and no refund will be issued as costs have already been incurred.

Can I change my name details?


The name used at graduation and printed on your testamur, will be the same as that you are enrolled as. Any changes must be advised in writing with appropriate documentary evidence (ie. passport, birth certificate etc). These changes and documents must be lodged with your Application to Graduate form.

Where is the graduation ceremony held?


Australian Graduation Ceremonies:
  • Mt Helen Campus - Caro Convention Centre, 1870 Founders Theatre
  • Ballarat City - Her Majesty's Theatre, Lydiard Street South

How long does the ceremony take?


A standard Graduation Ceremony will run for approximately 90 minutes.

However, graduands need to register and collect their academic gown before the ceremony and should allow appropriate time for photographs etc. Times for registration and robing will be provided in the ceremony information sent to you approximately 4 - 6 weeks before the ceremony. They should also allow time to return their academic gown after the ceremony.

How many guest tickets are available?


Australian Ceremonies: Each eligible graduand is issued with two complimentary guest tickets. Graduands do not require a ticket.

After each graduand is allocated 2 tickets, if there are any additional tickets remaining they are allocated via random ballot. The availability of extra tickets will be limited and in some ceremonies, not possible at all if the ceremony is full to the seating capacity of the venue. Extra tickets may be available at the ceremony. A request should be made at the ticket office prior to the commencement of the ceremony. No extra tickets will be allocated before the day of the actual ceremony.

Tickets will not be sent out prior to the ceremony, they must be collected from the ticket box prior to the ceremony. The ticket box opens at the same time as registration, which graduands will be notified of in the confirmation letter prior to graduation.

There is a screen available in the Buckland Lounge, directly located above the 1870 Founders Theatre, for guests who are unable to obtain additional tickets to view the ceremony.

NB:There is no cost associated with guest tickets

Overseas Celebrations:Each eligible graduand is issued up to two guest tickets dependant on the number of graduands and venue size.

Can I hire academic dress?


The graduation fee for attending graduands includes the cost of the hire of your academic gown and trencher (hat) for the ceremony. Should graduates wish to hire academic dress at any other time, a hire fee is applicable. To apply for academic dress hire please download the following

and return the completed form to the Graduations Office.

What colour will I wear at graduation?


TAFE

Certificates I and II - Black Oxford Gown
Certificates III, IV and Diplomas - Black Oxford Gown and a gold wooled stole with two stripes of blue and maroon satin together with a badge which identifies the school to which the studies undertaken for the award relates.

HIGHER EDUCATION

Bachelor
Black Oxford gown, black trencher and a hood edged with white binding and lined in the following colour:
  • Arts - (Magenta) Deep Pink
  • Education - (Spectrum Green) Green
  • Computing - (Oyster/Off white) Ivory

Higher Doctorate - Maroon Oxford Gown with gold trim, maroon hood with gold trim and maroon bonnet with gold silk cord and tassel.

Professional Doctorates - Black Oxford Gown, hood in the colour of the discipline lined with black wool cloth and black bonnet with gold silk cord and tassel.

Can I purchase a video or DVD of the ceremony?


Please note that DVDs are no longer available for sale for the graduation ceremonies. We apologise for any inconvenience caused.

Can I get professional photos taken on the day?


Yes you can. Williams Studios will be available before, during and after the ceremony to take your photographs. Visit their Website for further information or to view recent graduation photographs.

Can I get my testamur framed on the day?


Yes you can. R & J Framing Pty Ltd will have a stall set up on the day where you can view samples of their framing and get your own testamur framed. Visit the R&J Framing Website for further information.

Academic Transcripts

What is an Academic Transcript?


An academic transcript is a complete record of all of your study at the University. Graduands will receive a free copy of their transcript when they graduate.

How can I obtain extra copies of my academic transcript?


If you need to apply for an academic transcript at any other time, you will need to contact Student Administration. An academic transcript request form can be downloaded from the following weblink - Student Services

Replacement Testamurs

How do I get a replacement testamur?


To obtain a replacement testamur you must complete the application form.

Application forms can be downloaded by clicking here, or are available from the Graduation Office, Mt Helen Campus.

If your original testamur has been lost or stolen you will need to provide a statutory declaration with your application. A statutory declaration form can be downloaded by clicking here. Further information regarding Statutory Declarations can be found at the following link - www.ag.gov.au.

The cost for a replacement testamur is $110AUD, paid by cash, cheque, money order, Visa, MasterCard or AMEX. Payment must accompany the application form.

Please note that:

  • The replacement testamur will have the words, "This is a replacement testamur" in the body of the text.
  • Due to policy requirements, we must verify your information by accessing archived files and other relevant information, therefore a replacement testamur may take up to six weeks to produce.

In Absentia - The award is conferred upon you without you attending a Graduation ceremony
Testamur - The actual certificate
Hood/Stole - Academic Wear in the colour of the school/course you are graduating from
Academic Transcript - A complete record of all of your study at the University
Conferral - The official granting of the award by either The Chancellor of the University of Ballarat, or their nominated representative
