Health and Safety Planning & Reporting
Annual Plan
Annually (around October each year), each School, Directorate and Centre is required to submit to their DVC/VP a draft OHS Plan for the forthcoming year. A copy should be sent to the Risk, Health and Safety Department for review by the University Health and Safety Policy Committee. The Plan must be based on the pro-forma (Word document) prepared by the RHS Dept. The final Plan should be submitted by the end of December. The Schools/Directorates then implement their Plan throughout the year, and they comply with the reporting requirements outlined below.
Quarterly Report
At the end of every quarter, each School, Directorate and Centre is required to supply to their DVC/VP a Quarterly Summary Health and Safety Report. The pro-forma outlines the required contents.
Annual Report
At the end of each year (at the same time as they prepare the Plan for the forthcoming year - see above), Schools/Directorates/Centres are required to submit to their DVC/VP (cc RHS Dept) a report on their OHS activities for the finishing year. This report is best accomplished by annotating the OHS Plan for that year with relevant comments.

Health and Safety Auditing
The Risk, Health and Safety Department conduct regular health and safety audits of Schools/Directorates/Centres against their operational health and safety plans, using an OHS audit tool derived from the Plan pro-forma. They report their findings in writing to the University Health and Safety Policy Committee and to the Head/Director.
